Karrabee Bus & Coach – Tour Terms & Conditions
(Operating as Karrabee Tours)
These Terms and Conditions apply to all tours operated by Karrabee Bus & Coach, including day tours, extended tours and tour packages. By confirming a booking, passengers acknowledge and accept the conditions outlined below.

1. Bookings and Payment
Bookings are confirmed once the required deposit payment is received.
For extended tours, the total tour cost is generally divided into five instalments of approximately 20% each, with the first payment acting as the non-refundable deposit.
The final balance must be paid no later than 30 days prior to the tour departure date, unless otherwise advised at the time of booking.
Bookings made within 30 days of departure may require full payment at the time of booking.
Karrabee Bus & Coach reserves the right to cancel a booking if payment schedules are not met.

2. Tour Prices
All tour prices are quoted in Australian Dollars (AUD) and include GST where applicable.
Tour prices include only those services specifically listed in the tour itinerary. Items not specifically listed, including personal purchases, optional activities, drinks, laundry and similar expenses, are the responsibility of the passenger.
Tour prices are based on operating costs at the time of publication.

3. Fuel and Tour Cost Adjustments
Tour pricing is based on normal operating costs at the time the tour is advertised.
Fuel supply and costs for both coach and air travel are subject to change. Karrabee Bus & Coach reserves the right to apply a fuel levy to the tour fare if there is a significant increase in the cost of fuel, aviation fuel, or other essential supplier charges beyond normal operating levels. This may include, but is not limited to:
• Coach fuel
• Aviation fuel for fly-in / fly-out tours
• Change of tour route for various reasons
Passengers will be notified of any adjustment as soon as reasonably possible.
Should a passenger choose to cancel their booking because of a price adjustment, standard cancellation fees will apply. Karrabee Bus & Coach will use reasonable efforts to minimize increases and provide advance notice of any adjustments.

4. Changes to Itinerary
While every effort is made to operate tours as advertised, circumstances beyond the control of Karrabee Bus & Coach may require adjustments.
Karrabee Bus & Coach reserves the right to modify tour itineraries, substitute attractions, alter travel routes, or change accommodation where necessary due to circumstances including but not limited to:
• weather conditions
• road closures
• operational requirements
• supplier availability
• safety considerations
Where a tour must be cancelled prior to departure, passengers will be offered an alternative tour where possible or a full refund of payments made.

5. Minimum Passenger Numbers
Tours are operated subject to achieving sufficient passenger numbers.
If minimum numbers are not reached, Karrabee Bus & Coach reserves the right to cancel the tour. In such circumstances, passengers will be notified as soon as possible and offered either:
• an alternative tour, or
• a full refund of payments made.

6. Passenger Health and Mobility
Passengers must be able to board and disembark the coach independently and manage their personal mobility during the tour.
Due to space limitations and the nature of coach travel, wheelchairs, mobility scooters and similar equipment cannot be accommodated on tours.
Passengers who have mobility concerns, medical conditions or special requirements should discuss these with Karrabee Bus & Coach prior to booking to ensure the tour is suitable.
Karrabee Bus & Coach staff are unable to provide personal care assistance.

7. Passenger Conduct and Safety
For the safety and comfort of all passengers, travellers are expected to behave in a respectful and responsible manner throughout the tour.
Karrabee Bus & Coach reserves the right to refuse travel to, or remove from a tour, any passenger who:
• behaves in a disruptive or unsafe manner
• is affected by excessive alcohol or substance use
• refuses to follow reasonable instructions from the driver or tour staff
• interferes with the enjoyment or safety of other passengers
In such cases, no refund will be provided, and any additional costs incurred will be the responsibility of the passenger.

8. Right of Refusal
Karrabee Bus & Coach reserves the right to decline or cancel any booking at its discretion where it is considered that the tour may not be suitable for the passenger or where participation may affect the safety, comfort or enjoyment of other passengers.
This may include circumstances where a passenger’s mobility, health requirements or behaviour may be incompatible with the nature of the tour.
Where a booking is declined or cancelled under these circumstances prior to departure, any payments made will be refunded.

9. Luggage
Luggage allowances for tours are outlined in the relevant tour brochure or itinerary.
Passengers are responsible for ensuring their luggage meets the stated guidelines.
While drivers may assist with luggage where possible, passengers may be required to handle their own bags when necessary for safety reasons.

10. Travel Insurance
Travel insurance is strongly recommended for all tours.
Insurance can assist with unexpected events including illness, cancellation, or travel disruption. Passengers should make their own enquiries with their insurer, bank or travel agent regarding suitable coverage.

11. Third-Party Services
Some tour inclusions may be provided by independent operators, such as accommodation providers or attraction venues.
These services operate under their own terms and conditions, and Karrabee Bus & Coach cannot be held responsible for the actions, omissions or operational changes made by third-party providers.

12. Cancellation by Passenger
If a passenger needs to cancel a booking, written notice must be provided.
The following cancellation charges apply:
Notice Period Cancellation Fee:
60 days or more before departure Loss of deposit (20%)
30 – 60 days before departure 50% of tour fare
16 – 30 days before departure 75% of tour fare
15 days or less before departure 100% of tour fare
These charges reflect costs incurred in planning and reserving tour services, including accommodation, transport and attraction bookings. Once a place is reserved on a tour it may not be possible to resell that position, and cancellation fees help recover costs already committed on behalf of the passenger.

13. Missed Departure / Late Passengers
Tours depart at the scheduled time as outlined in the tour itinerary.
Passengers are responsible for arriving at the designated departure point at the required time.
Karrabee Bus & Coach cannot delay departures for late passengers. If a passenger misses the tour departure, no refund will be provided, and any additional costs incurred to rejoin the tour will be the responsibility of the passenger.

14. Rooming Arrangements and Single Travellers
Tour prices are generally based on twin-share accommodation.
Passengers travelling alone may request a single room, which may incur an additional single supplement charge where applicable.
In some situations single accommodation cannot be provided.

15. Responsibility and Travel Risks
Participation in tours may involve travel by road, water or other transport, as well as visits to remote or regional locations.
While Karrabee Bus & Coach takes all reasonable steps to provide a safe and enjoyable travel experience, passengers acknowledge that travel may involve circumstances beyond the control of the operator.
Karrabee Bus & Coach will not be liable for personal injury, loss, delay or expense arising from events outside its reasonable control.

16. Remote Area Travel Advisory
Some Karrabee Tours travel to regional and remote areas of Queensland where distances are significant and services may be limited.
Passengers should be aware that medical facilities, pharmacies and other services may not always be immediately available. Weather conditions, road closures and operational factors can occasionally affect travel times or planned itineraries.
Passengers are responsible for bringing adequate personal medications, prescriptions and any essential medical supplies required for the duration of the tour.
Travel in remote regions requires flexibility and understanding should unexpected circumstances arise.

17. Photography
During tours, photographs or video footage may occasionally be taken by Karrabee Bus & Coach staff or other passengers.
These images may be used for promotional purposes including brochures, social media, advertising and website content.
Passengers who do not wish to appear in promotional material should advise Karrabee Bus & Coach prior to the commencement of the tour.

18. Force Majeure
Karrabee Bus & Coach will not be responsible for delays, alterations or cancellations caused by circumstances beyond its reasonable control.
These may include, but are not limited to:
• severe weather events
• flooding or natural disasters
• road closures
• government restrictions
• industrial action
• mechanical issues
• public health emergencies
Where such events occur, Karrabee Bus & Coach will make reasonable efforts to provide alternative arrangements where possible.

19. Charter Services and Self-Drive Hire
Karrabee Bus & Coach also operates charter services and self-drive bus hire.
Additional conditions apply to these services:
• Vehicles hired on a self-drive basis must be operated only by an approved and appropriately licensed driver approved by Karrabee Bus + Coach.
• The hirer accepts responsibility for the vehicle for the duration of the hire period.
• Vehicles must be returned in a clean and serviceable condition. Additional cleaning or repair costs may be charged where required.
• The hirer is responsible for any traffic infringements, fines or penalties incurred during the hire period.
• Any damage to the vehicle must be reported immediately to Karrabee Bus & Coach.
A separate hire agreement may be issued for charter or self-drive bookings where additional conditions apply.

20. Acceptance of Terms
Payment of a deposit or full tour payment indicates acceptance of these Terms and Conditions.
